Indus Heritage Trust nonprofit organization is looking for Admin & Procurement officer for its Head office Islamabad Position Title: Admin & Procurement officer Location: Islamabad Salary: PKR 45,000 (Per month) Job description and Responsibilities Oversee all procurement related procedures, ensuring processes are transparent and competitive procurement practices are undertaken in line with the donor guidelines and perform general administration duties. Job description also includes; • Manage and coordinate procurement activities including but not limited to: preparation of procurement notices; customization of bidding documents act as central coordinator to respond to queries during currency of bidding; facilitate bid opening process; support bid evaluation, award and contracting; coordinate with the relevant entities. • Develop and implement a documentation filing system which provides transparency; proper record control; security of documentation, which adheres to the standards and procedures outlined in the IHT Procurement Guidelines. • Prepare scope of work and specifications of goods and services, propose product substitutions consistent with requirements to achieve cost savings and determine the availability of funds. • Oversee the verification of invoices received against goods receipts and contracted prices prior to approving the processing of such invoices for payment. • Supervise the maintenance of relevant internal databases and files, monitor contractual agreements, direct provisioning contracts and inform users affected of contractual rights and obligations. • Takes overall responsibility to provide logistics and administrative support for smooth functioning of program activities. • Maintain an updated list of staff in the office and monitor leaves & attendance; ensure effective record keeping of monthly attendance and leave record and coordinates with the concerned unit/manager for action. • Oversees facilities and office management functions and perform such functions as managing conferences, meetings etc. • Maintain inventory database for assets and office supplies and conduct periodic inventory checks • Negotiate the best possible pricing and coordinate delivery times Enter accurate purchase order details. • Ensure safe custody and disbursement of petty cash amount as per IHT's financial policy and procedures. Make proper documentation of all petty cash disbursements and submit to replenish the fund.Page 2 of 2 • Takes overall responsibility to provide logistics and administrative support for smooth functioning of program activities. • Makes travel arrangements for staff including transport, and accommodations needs. • Any other task assigned by the supervisor and / or management Qualifications and Experience • Minimum: 16 year of education from a HEC recognized university, with four (04) years’ experience with more than 3 years post qualification experience, preferable with the development sector. • Excellent presentation, IT, English Communication, Interpersonal, organizational & negotiation skills We are equal opportunity employers, females are encouraged to apply.
